International Organization for Migration (IOM) is looking for suitable candidate for the position of Project Support Clerk to assist IOM Program unit, according to the Post Description below. Position Title: Project Support Clerk  

Duty Station: Kathmandu

Type of Appointment: Ungraded, 6 months with possibility of extension

Closing Date : 31 October 2021

Context:

Under the overall guidance of the Chief of Mission and direct supervision of the National Program Officer and in collaboration with the project team, the successful candidate will be responsible for managing and handling the overall logistic and administrative related activities of the project entitled “Effective case management by strengthening Isolation centers and Ground Crossing Points (GCPs) management for Rapid Response and Preparedness against COVID-19”, funded by  funded by the Directorate-General European Civil Protection and Humanitarian Aid Operations (EU DG ECHO), in the targeted locations (Provinces 1, 2, Lumbini and Sudurpaschim) in Nepal. 

Core Functions / Responsibilities:

  1. Ensure full compliance of procurement activities with IOM rules, regulations, policies and guidelines. Collect bids or quotations based on requests from various sections for purchases/services and analyse them in accordance with procurement guidelines based on competitive prices, delivery time, quality of service and vendors' credentials.
  2. Prepare purchase orders and ensure full compliance of term and conditions including authorization by relevant authorities and confirm vendor’s acceptance on all POs and follow up for timely delivery.
  3. Coordinate with GPSU and LEG department for endorsement and approval of contract as and when required.
  4. Process for the payment to the vendors upon delivery of goods and services following the receipt of Goods Receipt Note from requestors.   
  5. Ensure proper procurement filing (including e-filing) systems are in place, organized and maintained.
  6. Maintain a tracking system for commodities, supplies and equipment. 
  7. Support on inventory management and conduct physical verification of the assets in CO and sub-office.  Ensure all newly purchased assets are tagged and assist the unit in preparing Assets Assignment Forms. 
  8. Organize proper stock keeping of recurring materials such as office supplies, IT consumables as well as equipment needed by the mission.
  9. Support the team to handle all request for printing materials such as books, brochure, letter head, banner, visibility items, business card etc.
  10. Undertake any other duties that may be assigned by the supervisor.

Required Qualifications and Experience:

Education

  • Bachelor’s degree from an accredited Institute in Social Sciences, Management or related field with at least one year of relevant working experience; or
  • High school degree/ certificates with at least three years of relevant working experience.

Experience 

  • Familiarity with the UN system is an advantage.
  • Experience of working on administration and logistics issues in the provinces and in COVID-19 prone areas of Nepal is an advantage.

Languages

Fluency in English and Nepali is required. Proficiency in Maithili, Bajika, Khas advantage.
